Connect WhatsApp

  1. Create your WAFlow workspace and verify your email address.
  2. Open Settings → WhatsApp and choose 'Connect with Meta'.
  3. Have a Meta Business portfolio ready. If you do not have one, you can create it inside the Embedded Signup dialog.
  4. Prepare a phone number that is not currently active on the WhatsApp or WhatsApp Business app, and that can receive an SMS or voice code.
  5. Complete the dialog, then wait for WAFlow to confirm the WhatsApp Business Account and phone number ID are registered.
  6. Send a test template message to your own number to confirm end-to-end delivery.

Meta Embedded Signup

  1. Embedded Signup is Meta's own onboarding dialog, hosted by Meta and launched from inside WAFlow.
  2. You select the Business portfolio and WhatsApp Business Account you want to use — WAFlow never sees your Facebook password.
  3. You review and approve the exact permissions requested: whatsapp_business_management, whatsapp_business_messaging, and business_management where required.
  4. On completion Meta returns an authorisation code. WAFlow exchanges it server-side for an access token that is stored encrypted and used only for your workspace.
  5. You can revoke access at any time from WAFlow or from Meta Business settings; WAFlow stops all access immediately.

Templates

  1. Go to Templates → New template and choose a category: Marketing, Utility, or Authentication.
  2. Write the body with numbered variables such as {{1}} and provide realistic example values — missing examples are the most common rejection cause.
  3. Optionally add a header, footer, and buttons (quick reply, URL, or call).
  4. Submit for review. Meta usually responds in minutes; status syncs back automatically.
  5. If rejected, read Meta's reason shown on the template, fix the issue, and resubmit.

Broadcast & campaigns

  1. Build a segment in Contacts using tags, custom fields, or activity.
  2. Create a campaign, select an approved template, and map variables to contact fields.
  3. Send now or schedule for a date, time, and timezone.
  4. Contacts marked as opted out are excluded automatically.
  5. Watch sent, delivered, read, replied, and failed counts update live as Meta returns statuses.

Shared inbox

  1. Inbound messages arrive in real time and create or match a contact record.
  2. Assign a conversation to a teammate, add labels, and leave internal notes that customers never see.
  3. Reply freely within the 24-hour customer service window; outside it, send an approved template.
  4. Use the AI assistant to draft or summarise, then review before sending.
  5. Close or snooze conversations to keep the queue meaningful.

Automation

  1. Pick a trigger: new contact, tag added, keyword received, campaign reply, or webhook event.
  2. Add conditions on tags, fields, or message content.
  3. Add delays in minutes, hours, or days, with optional business-hours awareness.
  4. Add actions: send a template, add or remove a tag, assign to an agent, or call a webhook.
  5. Enable the workflow. It stops automatically for a contact who opts out or receives a human reply, if you choose that setting.

Analytics

  1. The dashboard shows messages sent, delivery rate, read rate, replies, and active automations.
  2. Campaign reports break performance down per template and per segment.
  3. Team reports show first-response and resolution times per agent.
  4. Export any report to CSV for your own BI tooling.

Billing

  1. Your WAFlow subscription covers platform access, seats, and contact limits.
  2. WhatsApp conversation charges are billed by Meta according to your country and conversation category.
  3. Upgrade or downgrade at any time; changes prorate on the next invoice.
  4. Invoices and payment history live in Billing inside the app.

Troubleshooting

  1. Template message not delivered: confirm the template is approved and the recipient has messaged you or opted in.
  2. Webhook not receiving events: confirm the callback URL is subscribed in Meta and that your endpoint returns 2xx quickly.
  3. Number cannot be registered: the number is likely still active on the WhatsApp app — delete that account first.
  4. Messaging limit reached: Meta caps unique recipients per 24 hours; limits rise as your quality rating stays healthy.
  5. Quality rating dropped: reduce broadcast frequency, tighten targeting, and make opt-out easy.
  6. Still stuck? Email support@wafollow.in with the workspace name and the Meta error code shown in WAFlow.

Authorisation model

How WAFlow works with Meta

  • WAFlow uses the official WhatsApp Cloud API — no unofficial or unauthorised access methods.
  • Each customer connects their own WhatsApp Business Account through Meta Embedded Signup.
  • Customers explicitly authorise WAFlow before any data is accessed.
  • WAFlow never accesses customer data without authorisation and never resells it.
  • Customers retain full ownership of their business data and can export or delete it at any time.
  • WAFlow complies with Meta Platform Policies and WhatsApp Business Platform Policies.
